Create a Welcome Email Flow in Klaviyo

A Welcome Email Flow lets you automatically send emails to customers after they submit their email through a Klaviyo sign-up form or popup on your BurgerShop store.

You can use this flow to welcome new subscribers, send discount codes, introduce your brand, and encourage first purchases.

Before you start

Before creating a Welcome Email Flow, make sure that:

  • You have a Klaviyo account.
  • You have created a Klaviyo sign-up form or popup.
  • The form is published.
  • The Klaviyo onsite tracking script has been added to BurgerShop.
  • Your form is connected to an email subscriber list.
  • You know which list the form sends subscribers to.
  • You have a sender name and sender email ready

How the Welcome Email Flow works

The flow starts when a customer is added to a selected Klaviyo list.

For example:

  1. A buyer visits your BurgerShop store.
  2. The buyer sees a Klaviyo popup.
  3. The buyer submits their email.
  4. Klaviyo adds the buyer to the selected email list.
  5. The Welcome Email Flow is triggered.
  6. Klaviyo sends the welcome email automatically.

A common Welcome Email Flow can include:

  • Instant welcome email
  • Wait 5 minutes or a few days
  • Conditional split based on whether the subscriber placed an order
  • Follow-up email for subscribers who have not purchased yet

Step 1: Check your Klaviyo sign-up form list

Before creating the flow, confirm which list your sign-up form uses.

Steps:

  1. Log in to Klaviyo.
  2. Go to Website.
  3. Select Sign-up forms.
  4. Open your form.
  5. Check the Email subscriber list.
  6. Remember the list name.

You need to use the same list as the trigger list in your Welcome Email Flow.

Important
If your form sends subscribers to one list, but your flow uses another list as the trigger, the welcome email will not send.

Step 2: Create a Welcome Email Flow

You can create a flow from scratch or use a recommended template from Klaviyo.

Steps:

  1. In Klaviyo, go to Flows.
  2. Click Create flow.
  3. Choose a recommended flow such as Welcome Series (Email), or create a new flow from scratch.
  4. Name your flow

Step 3: Set the flow trigger

The trigger controls when someone enters the flow.

For a Welcome Email Flow, use a list-based trigger.

Steps:

  1. Click the Trigger block.
  2. Select a trigger such as When someone is added to a list.
  3. Choose the same list used by your Klaviyo sign-up form.
  4. Save the trigger.

Important
This is the key setup. The Welcome Email Flow only triggers when a buyer is added to this list, usually after submitting a Klaviyo form or popup.

Step 4: Configure re-entry criteria

Re-entry criteria controls whether the same subscriber can enter the flow more than once.

Common options include:

Recommended setup

For most Welcome Email Flows, choose: No re-entry

This prevents customers from receiving the same welcome sequence multiple times.

Step 5: Edit the first welcome email

The first welcome email is usually sent immediately after the buyer submits their email.

Steps:

  1. Click the first email block in the flow.
  2. Open Email details.
  3. Update the email name.
  4. Set the email status.
  5. Edit the subject and sender information.

You can configure:

  • Email name
  • Status
  • Subject line
  • Preview text
  • Sender name
  • Sender email address
  • Reply-to email

Tip
Use a clear subject line and a sender name that matches your store brand.

tep 6: Customize the email content

After setting the email details, edit the email template.

Steps:

  1. Click the email block.
  2. Click Edit email.
  3. Customize the email content.
  4. Add your logo, images, text, coupon code, and CTA button.
  5. Preview the email on desktop and mobile.
  6. Save the email.

You can use content blocks such as:

  • Text
  • Image
  • Button
  • Divider
  • Product
  • Coupon
  • Table
  • HTML
  • Social links

Add personalization

You can personalize the email with customer profile information.

For example, you can insert the customer’s first name with a fallback value: Hi First name OR “Friend”

This helps the email feel more personal while still displaying correctly if the subscriber does not provide a name.

Step 7: Add a time delay

A time delay lets you wait before sending the next message.

For example, after the first welcome email, you can wait 5 minutes or a few days before sending another email.

Steps:

  1. Click the + icon below the first email.
  2. Add Time delay.
  3. Set the delay time

Step 8: Add a conditional split

A conditional split lets you send different follow-up messages based on customer behavior.

For example, you can check whether the subscriber has placed an order since entering the flow.

 

Recommended condition

What someone has done or not done:
Person has Order placed zero times since starting this flow

How this works:

ou can send a follow-up discount reminder to the Yes path and end the flow for the No path.

Steps:

  1. Click the + icon after the time delay.
  2. Add Conditional split.
  3. Select What someone has done or not done.
  4. Choose Order placed.
  5. Set the condition to zero times since starting this flow.
  6. Save the split.

Step 9: Add a follow-up email

After the conditional split, add a follow-up email for subscribers who have not purchased.

Steps:

  1. Under the Yes path, click +.
  2. Add an Email.
  3. Edit the email details.
  4. Customize the email content.
  5. Set the email status to Live when ready.

The No path can end the flow because the customer has already placed an order.

Step 10: Turn emails and flow live

For the flow to send emails, both the email blocks and the flow need to be live.

Steps:

  1. Click each email block.
  2. Set the email status to Live.
  3. Review the full flow.
  4. Click Update status if needed.
  5. Set the flow to Live.

Important
If the flow is live but an email block is still draft, that email will not send.

Step 11: Test the flow

After publishing the flow, test it with a real form submission.

Test checklist

  1. Open your BurgerShop storefront in an incognito window.
  2. Submit a test email through the Klaviyo popup or sign-up form.
  3. Check that the test email is added to the correct Klaviyo list.
  4. Confirm that the profile enters the Welcome Email Flow.
  5. Check the inbox for the welcome email.
  6. Review desktop and mobile email display.
  7. Confirm links and coupon codes work correctly.

Note
Do not test only by typing an email at checkout. The Welcome Email Flow is triggered when the buyer submits a Klaviyo form or popup connected to the selected list
